COVID-19 Safety At HIDA Conferences

It’s important to get back to business – but even more important to do so safely.

HIDA and the conference hotel are taking important steps to protect attendees during the conference.

Attendees at 2022 in-person HIDA meetings and events must be fully vaccinated against COVID-19, following CDC guidelines. HIDA is partnering with CLEAR for vaccination verification services. Attendees are highly encouraged to wear masks indoors. Other conference safety protocols include:

  • Enhanced cleaning procedures at the hotel.
  • Outside venues for most food and beverage functions (hooray for meetings in south Florida!)
  • Safe food and beverage serving procedures.
  • No-contact greetings. Please replace handshakes, hugs, etc. with a friendly verbal greeting or wave to maintain distancing.
  • Supplies including masks, sanitizer, wipes and rapid tests out and available.
  • Increased spacing between seats at meetings and social functions.
  • Relaxed cancellation policies so that registrants feel comfortable staying home if they are experiencing any symptoms of illness.
  • COVID-19 Code of Conduct.

HIDA will also comply with all applicable safety and health requirements imposed by relevant federal, state, or local health authorities. HIDA is committed to providing a safe and healthy environment for all attendees. However, HIDA cannot guarantee that attendees will not become exposed to COVID-19.

How Does The Clear Health Pass Work?

The CLEAR Health Pass is a simple way to show your proof of COVID-19 vaccination – just download the free app, verify your identity, and upload a photo of your vaccine card. It’s free and fully secure, and the vaccine validation takes only a few minutes. From the app, you will receive a green Health Pass once your vaccination has been successfully uploaded. Be ready to show your Health Pass for faster entry at HIDA conferences!

Instructions For Completing Your COVID Vaccination Verification Via The CLEAR Health Pass
  1. On your Android or Apple device, download the CLEAR Health Pass app here.
  2. Once the CLEAR app has finished downloading, open the app by clicking on the white Health Pass tile.
  3. Select "Have a Code?" and enter the conference code.
    • • The code for the Executive Conference is: EFATTENDEE49.
  4. Tap "Enroll or verify you're in CLEAR" to create your CLEAR member account.
    • New to CLEAR? When prompted, enter your email address, phone number, and have your government issued photo ID ready to complete enrollment.
    • Already a CLEAR member? Use the email associated with your membership and snap a quick selfie to verify your identity.
  5. Continue to follow prompts on the Entry Requirements page to securely confirm your proof of vaccination.
  6. IMPORTANT: Ignore the “Day of” instruction and go ahead and do the health screening step.
  7. Tap "Open Health Pass" to get your result. Green means you're good to go!
  8. If you do not receive your approved health pass, contact HIDA BEFORE you leave home.

What Is The COVID-19 Code Of Conduct?
Participants at HIDA conferences should:
  • Be fully vaccinated prior to attending this conference, based on CDC guidelines.
  • Maintain social distancing as much as possible and to use no-contact greetings.
  • Self-monitor and self-report, and comply with any other safety and health requirements HIDA may implement to protect against the spread of COVID-19.
You should not attend the conference if you:
  • Are experiencing symptoms associated with COVID-19 or have experienced them within 10 days prior to the conference,
  • Believe that you may have been exposed to a confirmed or suspected case of COVID
  • Have been diagnosed with COVID-19 and are not yet medically cleared as non-contagious.
What If I Have To Cancel?

If you register for the conference and have to cancel due to illness, exposure, or other COVID-related issues, HIDA will refund your full registration fee.
